Human Resources Officer: Job Summary
We are seeking a highly organized, detail-oriented, and proactive Human Resources
Assistant to support the seamless execution of our firm's people and administrative
operations. This role is integral to maintaining high professional standards across the
organization. The ideal candidate will be a versatile administrator who is passionate
about talent development, resource management, and the optimization of HR workflows
within a high-performance, structured professional environment.
Key Responsibilities
HR Administration & Compliance
- Data Integrity: Maintain accurate, confidential digital and physical personnel
records, ensuring all HRMS data is updated in compliance with firm policy.
- Documentation: Assist in the drafting of internal memos, HR circulars, and
standard operating procedures (SOPs) to ensure firm-wide adherence to
established protocols.
- Policy Stewardship: Support the enforcement of office conduct, dress codes,
and executive presence standards.
Learning & Development (L&D)
- Program Coordination: Facilitate the end-to-end administration of mentorship
programs, onboarding initiatives, and continuous professional development
(CPD) sessions.
- Logistics Management: Coordinate training schedules, prepare learning
materials, and manage internal knowledge-sharing platforms to foster a culture of
constant growth.
- Training Tracking: Monitor staff training hours and certification status to ensure
the workforce remains aligned with industry competency standards.
Library & Knowledge Management
- Resource Stewardship: Manage the firm’s physical and digital library resources,
including the acquisition, cataloging, and maintenance of legal texts, journals, and
subscription services.
- Knowledge Accessibility: Ensure that all staff have streamlined access to
research materials and maintain an organized inventory system for efficient
retrieval of reference assets.
- Vendor Coordination: Act as the primary liaison with publishers and database
providers to manage subscriptions, licensing renewals, and procurement.
Operational Support
- Performance Management: Assist in the administration of the appraisal cycle,
including gathering data for KPIs, KRAs, and 360-degree feedback processes.
- Integration Support: Serve as a key point of contact for new joiners, ensuring
they are fully integrated into the firm’s systems, culture, and administrative
workflows from day one.
Requirements & Qualifications
- Education: Bachelor’s degree in human resources, Business Administration, or a
related field.
- Experience: 1–3 years of HR/ administrative experience, preferably within a
structured professional legal services environment.
Core Competencies:
- Strategic Administration: Strong ability to manage complex scheduling,
documentation, and operational tasks with minimal supervision.
- Technological Proficiency: Advanced skills in HRMS/ERP systems and
office productivity suites (Microsoft Office/Google Workspace).
- Communication: Exceptional written and verbal communication skills,
with the ability to maintain professional discretion and a high degree of
executive presence.
- Organizational Acumen: A meticulous approach to record-keeping,
library management, and systemic organization.
